Recruitment and staffing checks

Depending on the role and UK nation, checks may include identity, right to work, employment history and references, professional registration, qualifications, competence evidence and a legally eligible DBS, PVG or AccessNI check. Client-specific checks are confirmed before placement.

Criminal-record checks

The route and level depend on the role, duties, setting, jurisdiction and applicable eligibility rules. EvaBridge Group applies a documented review process and uses the relevant update or membership service where appropriate and authorised.

Safeguarding, incidents and complaints

Concerns are recorded, triaged, escalated and investigated under the relevant procedure. Immediate danger must be reported to the emergency services. Client and EvaBridge Group responsibilities remain defined throughout.

Data protection

Personal information is collected in stages, limited to what is needed and handled through approved systems. Sensitive documents must not be sent through WhatsApp, ordinary email or the general contact form.

Professional registration

Where registration is required, EvaBridge Group verifies it directly with the relevant regulator and checks the role against any conditions or restrictions before placement.

Assignment information

Before supply, we obtain information about the hirer, duties, location, hours, duration, health and safety risks, required experience, qualifications, authorisations, expenses and supervision.

Cleaning controls

Cleaning is delivered to a documented task list with products, equipment, PPE, access, hazards, COSHH controls, inspection, defects, variations and sign-off proportionate to the work.

Service boundary

EvaBridge Group supplies workers to provider-led services and does not contract directly to provide regulated personal care. Technical facilities work is outside scope unless separately approved, competently resourced, insured and contracted.

International transfers

If a supplier processes information outside the UK, we use an approved transfer mechanism and proportionate safeguards where required.

How we use recruitment and worker information.

This notice applies when you apply, register, complete checks, accept an assignment or work through EvaBridge Group Ltd. We collect information in stages and request sensitive documents only when they are relevant and a secure route is available.

Information we may use

Contact details, postcode, CV, work history, availability and preferences; identity and right-to-work evidence; references received directly from relevant sources; qualifications, registrations and competence evidence; role- and jurisdiction-eligible criminal-record information; pay, tax and bank information after engagement; assignment, attendance, performance, incident and complaint records; reasonable-adjustment and work-health information where necessary.

Sensitive information

Where health, equality, safeguarding or criminal-record information is necessary, we limit access and identify the additional legal condition required. A request for a DBS, PVG or AccessNI check is based on the duties, jurisdiction and legal eligibility of the role, not a blanket rule. Work-health questions are normally asked only after a conditional offer or equivalent stage, subject to limited lawful exceptions.

Verification and status

Submitting evidence does not make it verified. We may check identity and right to work through the applicable official route, professional registration directly with the regulator, qualifications with the awarding source and references directly with the referee. The portal records the purpose, reviewer, outcome, date and any expiry or follow-up requirement.

Security

Portal access uses individual accounts and multi-factor authentication. Information is encrypted in transit and at rest, protected by role-based access, monitored through audit logs and retained under a record-specific schedule. Do not share your password or authentication code.

To assess suitability; find and offer work; meet recruitment, employment, tax, right-to-work, safeguarding and sector duties; administer assignments and pay; protect people; handle concerns; defend legal claims; and improve recruitment operations.

Our lawful bases

Depending on the stage and purpose, we rely on steps before a contract, performance of a contract, legal obligations and legitimate interests. We do not rely on consent where another lawful basis is more appropriate. Optional vacancy marketing uses consent and can be withdrawn.

Staged collection

The initial application asks for basic contact, work-preference and CV information. If you progress, an invitation-only portal requests only the checks relevant to the role. Identity, immigration-status, criminal-record, health and bank information are kept out of general contact channels and separated by access role.

Who we may share it with

Relevant prospective or current hirers; payroll, umbrella or pension providers where applicable; screening and technology providers; professional regulators; government, tax, law-enforcement or safeguarding bodies where required; advisers and insurers.

Automated decisions

We do not make a solely automated decision with legal or similarly significant effects unless we explain the logic, significance, safeguards and your rights before doing so.

Retention and rights

We keep records under a role-based retention schedule and no longer than necessary. Your data-protection rights and the ICO complaint route are explained in the main Privacy Notice above.

Essential technologies

These support functions such as security, network management, form operation, accessibility and remembering your privacy choices. They cannot be switched off through the consent tool where they are strictly necessary.

Terms for organisations.

These terms provide a website overview for organisations that engage EvaBridge Group Ltd. The signed service agreement, terms of business, rate card, booking confirmation or purchase order applicable to the engagement takes priority if it conflicts with this page.

Nature of the service

EvaBridge Group Ltd acts as an employment business when supplying temporary workers and as an employment agency when introducing candidates for direct employment. Managed cleaning or soft-facilities work is contracted separately and remains distinct from labour-only staffing.

Requests and confirmation

An enquiry is not a confirmed booking. Staffing, recruitment or service work is confirmed only when the scope, responsibilities, checks, commercial terms and practical arrangements required for that engagement are agreed in writing.

Fees, cancellation and transfer

Rates, fees, invoicing, cancellation, notice and any transfer-fee provisions are stated in the applicable written terms. Where the law requires an extended-hire option or limits a transfer fee, the agreed terms are applied subject to those requirements.

Concerns and withdrawal

Report conduct, performance, safety or safeguarding concerns promptly. EvaBridge Group may suspend or withdraw a worker or service where safety, suitability, payment, access or contractual requirements cannot be maintained.

Liability and law

Nothing excludes liability that cannot lawfully be excluded. Any liability cap, indemnity, insurance position, dispute process and governing-law clause is set out in the approved written terms for the engagement.

Client responsibilities

The client must provide accurate role or service information, a safe environment, relevant risks and controls, supervision or acceptance arrangements and prompt notice of any concern. For provider-led healthcare or support assignments, the client retains clinical or care direction, care planning, medication governance, safeguarding decisions and its own regulatory responsibilities.

Worker checks and suitability

EvaBridge Group completes the checks allocated to it under the agreed scope and applicable law. The client must identify any qualification, authorisation, competence, criminal-record or site requirement before a worker is proposed.

Worker Terms

Before work-finding services

EvaBridge Group will provide the required Key Information Document and terms of engagement before providing temporary work-finding services. These documents explain the engagement basis, expected pay arrangements, deductions, holiday, notice and other required information.

Registration and checks

You must provide accurate information and complete only the identity, right-to-work, reference, registration, qualification, competence and role-eligible criminal-record checks requested through the approved route. Registration does not guarantee work.

Your responsibilities

Work within the agreed role and demonstrated competence; follow lawful site instructions and safety rules; protect confidential information; and report incidents, safeguarding concerns, restrictions or changes to your right to work, registration or relevant status promptly.

Assignments and availability

You may decide whether to accept an offered assignment. No minimum hours or continuing work are guaranteed unless your written engagement terms expressly say otherwise. Notice and ending arrangements are stated in those terms and the assignment information.

Raising a concern

Use the complaints route for service or treatment concerns and the safeguarding route where someone may be at risk. Immediate danger must be reported to the emergency services.

Assignment information

Before an assignment is accepted, you will receive the role, hirer, location, dates, hours, duties, pay information, expenses, known health and safety risks, required experience or authorisations and relevant supervision arrangements.

Pay and timesheets

Pay arrangements and intervals are stated in your engagement documents. EvaBridge Group does not withhold payment for work completed because a hirer has not paid or solely because a timesheet is unavailable where the hours can be verified by another reasonable method.
